Case Study
A leading manufacturer of pre-cast concrete beams for the housing industry was looking to revamp its office processes to move away from an antiquated accounts system and myriad Excel spreadsheets to a modern, scalable solution able to cope with growth in the business without having to hire more admin staff and the new “Making Tax Digital” requirements from HMRC.
As part of this engagement, we introduced the business to Xero and developed some temporary, tactical processes to join up with their existing systems and processes, enabling a period of parallel running to validate the “new world” verses the old. This allowed them to investigate any discrepancies and highlight any changes needed to their upstream processes to ensure data accuracy.
Once Xero was adopted we set about building bespoke solutions for their entire workflow – from initial customer enquiry through quotations, ordering, deliveries to invoicing.
Today, not only is their whole operation paperless, but they perform no manual data entry in Xero whatsoever – our bespoke, cloud based ERM software automatically sends data to Xero to create contacts and invoices in real time – ensuring up-to-the-minute accuracy and giving them complete trust of the data in the accounts system.
The close integration of the bespoke software with Xero opens up possibilities to automate previous manual tasks, for example credit checking new customers when they are created. It also means the business can trust the system to provide checks and balances that previously relied on human diligence for example automatically checking open/unpaid invoice totals before allowing a new order to be placed for a customer.
